The Colorado Department of Health Care Policy & Financing (HCPF) is transitioning away from the Provider Web Portal as a method for submitting X12 claims files. Instead, HCPF now recommends — and prefers — use of the MOVEit Secure File Transfer Protocol (SFTP) server for submitting medical claims data.
This shift has a direct impact on medical claims clearinghouses like Claim.MD, and by extension, the providers who rely on us for Medicaid billing.
Key Change: SFTP Required for X12 File Submission
Colorado Medicaid is phasing out the use of the Provider Web Portal for sending X12 files, including:
- 837 claim files (institutional, professional, and dental)
- 270 eligibility request files
HCPF is urging all trading partners to transition to the MOVEit/SFTP server immediately. Claim.MD, as a clearinghouse that submits these transactions on behalf of providers, has adopted the SFTP method to maintain compliance and ensure uninterrupted processing.
Why SFTP?
The MOVEit/SFTP server is more secure, automated, and efficient than the legacy web portal. For clearinghouses and billing operations, it offers clear advantages:
- Automation: Files can be uploaded and downloaded without manual logins
- Batch support: Multiple claims or eligibility files can be submitted programmatically
- Faster workflows: No need for staff to manually log in and upload files
- Greater scalability: Supports high-volume claims processing across clients and file types
This change supports Claim.MD’s broader mission of delivering fast, accurate, and scalable claims processing.
What You Need to Know
While the transition improves security and efficiency, there are a few operational details to keep in mind:
- Reports and responses are retained on the SFTP server for only 15 days
Trading partners must download or automate retrieval of these files within that window. - The Provider Web Portal remains available as a backup
Reports can still be accessed through the portal if needed, but all file submissions should now use SFTP.
